The Director, Event Operations will undertake responsibility for a full range of planning, management and executional functions for the 2017 World Rowing Championships, including:

  • Oversight all elements of project management and bid compliance, including the development and communication of key dates and deadlines, master schedules, site plans, and contract fulfillment.

  • Logistics for teams, athletes, coaches, governing bodies, media, guests, and fans, including accommodations, air/ground transfers, shuttles, and fleet cars.

  • Visiting team requirements, including training facilities, catering, and boat and equipment transfers.

  • Procurement, installation and de-installation of temporary structures including tents, grandstands, and audio-visual presentation equipment elements.

  • Development and oversight of the stakeholder and fan experience, including site operations, security, guest services, information services (e.g., printed, on-line, and mobile guides, maps, schedules, and other resources), and first aid.

  • Collaborate with, and communicate event needs to, local, county and state authorities with jurisdiction, including police, fire, emergency medical services, parks, sanitation, and airport operations, among others.

  • Development, management, and execution of the ideal event overlay for the positioning of temporary structures and staff and to facilitate optimal crowd flow, event viewing, VIP experience, media, and broadcast coverage support.

  • Work together with SANCA, Sarasota County, Manatee County, and FISA on:

    • Ticketing strategy, including pricing, distribution, and packaging.

    • Marketing and promotion to local, regional, national, and international audiences.

    • The development of local and on-site sponsorship activation opportunities in partnership with the SANCA director of business development.

    • Management of the décor plan on-site and in-market (e.g., airport, hotels, and street banners, and others), including the appropriate integration and promotion of 2017 World Rowing Championships, FISA, and stakeholder brands.

    • Selection and management of on-site concessions and in-market merchandising partner.

    • Community engagement opportunities.

    • Development of the credential plan and coordination with FISA-supplied system.

    • Risk management and insurance requirements.

  • Development and management of the event staffing plan, including full-, part-time, and on-loan staff, contractor staff, interns, and volunteers.

  • Development, oversight, contractor selection, and staffing for opening ceremonies, social and hospitality events, and meetings, including but not limited to those outlined in the FISA bid specifications.

  • Oversee creation and operation of a guest management system to invite, track, and service VIP attendees.

  • Serve as director for event day management and operations.

  • Budget development, management, and forecasting for all areas under their responsibility.

  • Post-event wrap-up, evaluation, and reporting.

  • Other event leadership and/or support responsibilities as assigned by SANCA.

     

Qualifications and Education Requirements

 

The ideal candidate will possess seven-to-ten years of experience in managing public, corporate, and/or sports-related events.  This experience will include a successful track record in managing the entirety of medium-sized events, with particular expertise in project management and operational logistics.

The ideal candidate will offer a proven track record of exceeding expectations while working in a high-pressure, time-sensitive, and team-oriented environment.  The ability to manage multiple work streams requires an exemplary detail-orientation and outstanding organizational and time management skills.

 

As this position requires the establishment and maintenance of close-working relationships across all stakeholders (e.g., SANCA, Sarasota and Manatee Counties, FISA, broadcasters, sponsors, and media), excellent communication, people-management, and collaborative problem-solving skills are essential.  The ideal candidate will possess outstanding leadership skills in the supervision of contractors, freelancers, and event staff.

 

Expert familiarity with budgeting, word processing, budgeting, and presentation software is essential.
